Saved Views let you save your favorite combination of columns, sort order, and filters on a list page so it's ready every time you return. You can learn more about Saved Views here.
With Shared Saved Views, your firm can now take this a step further: administrators can publish saved views to everyone at the firm, as well as set a firm-wide default view.
This feature introduces two capabilities:
- Shared Saved Views — Users with the “Manage Shared Views” permission can share a saved view with all users at the firm. Shared views appear in everyone's saved view menu alongside their personal views, and any user can set a shared view as their personal default.
- Global Default View — A shared view can be designated as the default view for that page for all users. When set, it becomes the view everyone sees when they open that page — until a user chooses their own personal default, which takes priority for that user.
Shared Saved Views are currently available on the Matters, ClarraDocs, and Events pages, with additional sections planned for a future release.
Key Terminology
- Saved View: A saved combination of column layout, sort order, and filters on a list page. Personal saved views are private to the user who created them.
- Shared Saved View: A saved view that has been shared and made available to all users at your firm. Shared views appear in every user's saved view menu, in a separate Shared Views section.
- Personal Default: The saved view (personal or shared) that a user has chosen to load automatically when they open a section.
- Global Default View: A shared view that an administrator has designated as the default view for all users in a section. One global default can be active per section at a time.
- Built-in Default: Clarra's standard out-of-the-box view for a section, used when no personal or global default applies.
Shared view management is controlled by a new permission, “Manage Shared Views”, found under General / Account Administration in role settings. It is granted by default to Admin and Super Admin roles and can be assigned to custom roles.
Sharing and Managing Views for Administrators
All shared view actions are performed from the existing saved view (bookmark) menu on the list page — there's no separate configuration screen.
Share a View with Everyone
To share a view with everyone in your organization, follow these steps:
- Create and save a view as you normally would — set up your columns, sort order, and filters, then save it from the saved view menu.
- Open the saved view menu and select “Share with Everyone” on the view.
- The view moves to the Shared Views section of the menu and becomes visible to all users at your firm.
Note: Sharing a view does not force anyone to use it. Users can set it as their personal default if they like — or simply ignore it.
Set a Global Default View
Setting a Global Default is a separate action from sharing. Only a view that has already been shared can be set as the Global Default. To set a Shared View as a Global Default View for all users:
- In the saved view menu, find the shared view in the Shared Views section.
- Select “Set as Default for Everyone”.
- A confirmation dialog explains that this will immediately clear all users' personal defaults for the section. Confirm to apply.
- The view is marked with a Global Default indicator in the menu for all users, and everyone loads it when they open the section.
Important: Setting a Global Default clears every user's personal default selection for that section — but their personal saved views are not deleted. Users can re-select a personal default at any time, and it will take priority over the Global Default for them. Only one Global Default can be active per section; setting a new one replaces the previous one.
Edit, Rename, or Delete a Shared View
Users with the “Manage Shared Views” permission can manage shared views directly from the menu:
- Edit — Update the view's columns, filters, or sort. All users see the updated version the next time they load it.
- Rename — Change the view's name for everyone.
- Delete — Remove the shared view for all users. If the view was the Global Default, the Global Default designation is removed as well. If any users had it saved as their personal default, their default is cleared and they fall back to the Global Default (if one is active) or Clarra's built-in default.
Using Shared Views (All Users)
Everyone at the firm can see and use shared views — no special permission required.
To find the Shared Views, click on the bookmark icon on the page. You'll see your personal saved views as usual, plus a Shared Views section listing all views shared by your firm. If a Global Default is active, it's marked with an indicator in the menu.
Set a Shared View as Your Personal Default
- Open the saved view menu.
- Find the shared view you'd like to use and select “Set as my default”.
- That view now loads automatically every time you open the section.
Shared views are read-only for users without the “Manage Shared Views” permission — you can use them and set them as your default, but you can't edit, rename, or delete them.
Which View Loads When You Open a Section?
Clarra applies a simple priority order:
- Your personal default — If you've set one, it always loads first.
- The Global Default View — If you haven't set a personal default and your firm has a Global Default for the section, it loads.
- Clarra's built-in default — If neither of the above applies, the standard view loads.

Which sections support Shared Saved Views?

Is there a limit on the number of shared views?
No. You can share as many views as you like for each section.
Can I make a personal view the Global Default directly?
No. A view must be shared first. Once shared, it can be set as the Global Default.
If an admin sets a Global Default, do I lose my personal views?
No. Your personal saved views are not deleted — only your personal default selection is cleared. All of your views remain in the menu, and you can set any of them (or a shared view) as your personal default again at any time.
What happens if a shared view I use as my default is deleted?
Your personal default is cleared, and the section will load the Global Default (if one is set) or Clarra's built-in default.
Who can edit a shared view?
Only users with the “Manage Shared Views” permission. For everyone else, shared views are read-only — you can use them and set them as your default, but you can't change them.
