Clarra’s Communication Email Bcc Integration provides Users with a simple and secure way to automatically log emails to Clarra from their external Gmail or Outlook client. Users simply type a Matter-specific address into the Bcc line, and the email is automatically logged to its Matter within Clarra. Threads are automatically created to track the emails and replies sent to the Bcc address, automating organization.
Both Admin and Users must enable the Bcc integration to use the feature. First, the Admin must enable the integration for the company, then assign Users permission to use the feature, then Users must enable it for themselves.
(Admin) To Enable Bcc Integration for your company:
- Click on your Profile Icon
- Select “Account Settings”
- Select the “Integrations” tab
- Scroll to “Communication Email Bcc”
- Press “Enable” to the right
- Enter your company’s Domain Name
- Generate a TXT Record
- Paste the TXT record into your DNS Settings
- Verify that the TXT record has been added to your domain
(Admin) To Assign Users Permissions to Enable Bcc:
- Click on your Profile Icon
- Select “Account Settings”
- Select the “Roles” tab
- Click the three dots to the right of “Standard User”
- Press “View Details”
- Press “Edit” at the bottom of the page
- Scroll to “Communications”
- Check the box “Use Communications Email Bcc”
- Press “Save”
(Users) To Enable Bcc for yourself as a User:
- Click on your Profile Icon
- Select “User Settings”
- Select the “Integrations” tab
- Select “Enable” to the right of “Communication Email Bcc”
The Email Bcc feature ensures security by requiring three levels of verification. First, the Admin must verify ownership of the domain, then give Users permission to access the feature, and finally Users must enable the Bcc feature themselves. This ensures that only authorized Users have access to the feature, and prevents spam from reaching the Bcc address.
Once enabled, you can use the Email Bcc feature for all of your Matters across Clarra. Each Bcc address is Matter-specific, so every Matter will have a different Bcc address. The formula for each address is simple:
[companydomain]+[matternumber]@bcc.clarra.com
For example: acmecorp+10802@bcc.clarra.com
To send an email to the Bcc address:
- Write an email in your external mail client
- Gmail and Microsoft 365 Outlook are both supported
- Enter the Matter-specific address into the Bcc line
- Using the “[companydomain]+[matternumber]@bcc.clarra.com” format
- Example — acmecorp+100802@bcc.clarra.com
- Send the email
- The email will automatically log in the Communications tab of its associated Matter
- See an example of a Matter’s Communications tab below
- Subsequent emails in the email thread will also be logged to Clarra automatically without needing to include the Bcc email address when replying or forwarding a logged email
