Q: What is Multi-Tenant Access in Clarra?
A: It allows a single user to access multiple Clarra firms with one email login.
Q: What is a tenant in Clarra?
A: A tenant is your organization’s dedicated and secure workspace within Clarra. Each firm, or business using Clarra has its own tenant.
Q: Can I use the same email for different firms?
A: Yes. Once invited by each firm’s Admin, your email can be used across several Clarra firm accounts without creating a new user account.
Q: How do I switch between tenants?
A: Go to My Profile and click on your username to see the dropdown menu of the firms you have access to.
Q: What can other firms see when I’m invited to their tenant?
A: Each firm controls your access. You may be limited to specific Matters and permissions such as editing contact links or managing events.
Q: I’m an Admin for my firm. How do I invite external users?
A: From your Profile icon on the top right, select Account Settings > Users > + Add New User. Select the type of user - External User or ClarraView User, fill in their details, and confirm the invitation.
Q: Can I limit what invited users see and do?
A: Yes. Permissions can be customized using:
- Matter-level access settings
- Role-based permissions
For example, you can give access to just one matter or restrict editing rights across all matters.
Q: Will external users need a Clarra account?
A: Yes. If they don’t already have one, they’ll be guided through sign-up and linked to your tenant afterward.
Q: Can access be revoked?
A: Yes. Admins can terminate third-party access at any time by deactivating an invited user. This immediately logs them out and prevents further access.
Q: Is my data secure?
A: Yes. Multi-tenant access uses strong authentication and authorization protocols via Auth0 and tenant-specific URLs for security.
Q: Can different tenants give a user different levels of access?
A: Yes. Each tenant defines its own access rules, so a user can have full permissions in one tenant and view-only access in another.
Q: Are user actions restricted by their role within a tenant?
A: Absolutely. Permissions are tied to the user’s assigned role and Matter access within that specific tenant, allowing precise control over what each user can do.
Q: Is there a way to audit what external users have accessed or modified?
A: Yes. Clarra tracks user activity, so admins can monitor what changes external users make within their tenant. One way to see what changes a user has made is in the Audit Trail by User Report.
Q: Can a user see which tenants they belong to?
A: Yes. Users can view all tenants they have access to from the My Profile dropdown, and switch between them as needed.
Q: Is data ever shared across tenants automatically?
A: No. Tenants are completely isolated from one another. Data is only accessible to users who have been explicitly granted access by each tenant admin.
Q: What happens if two tenants invite the same user?
A: That user will have access to both tenants, but only with the permissions granted by each. There is no shared visibility between those tenants.
Q: How is unauthorized access prevented?
A: Clarra uses secure, token-based authentication via Auth0, and each tenant’s unique URL further enforces access boundaries.
Q: Who pays for external user’s access?
A: It depends on the user type:
- Standard Users are paid for by your tenant
- External Users are paid for by their primary tenant
- ClarraView Users (limited-view clients) are paid for by your tenant at a reduced rate
