Clarra’s Multi-Tenant Access enables users to collaborate across firms, contractors, clients, and litigation finance partners using a single login and email address, all while maintaining strict control over data access and security.
In Clarra, a tenant refers to your organization’s private, secure workspace. Each law firm, business unit, or organization using Clarra operates within its own tenant. Users normally belong to a single tenant, but Multi-tenant Access now allows them to be invited into multiple tenants using a single login.
With Multi-Tenant Access, a single user can securely access multiple firms' Clarra tenants using one email login. Firm administrators can invite external users, assign specific roles and restrict access to designated Matters and features.
This makes it easy to work with co-counsel, temporary staff, litigation finance partners, or other organizations without compromising privacy or administrative oversight. Multi-Tenant Access supports real-time collaboration while ensuring that each firm retains full control over who sees what.
What is Multi-Tenant Access?
Multi-Tenant Access allows a single Clarra user account to be invited to access multiple tenants (firms or organizations) while retaining one primary Clarra tenant. This is especially helpful for:
- Co-counsel collaboration across firms
- Contract attorneys or case managers
- External paralegals
- Litigation finance firms viewing case progress
Key Capabilities
- Single Sign-On: Use one email address to log in and access multiple Clarra tenants.
- Tenant Switching: Easily switch between tenants via the dropdown menu under My Profile.
- Granular Permissions: Tenant admins can restrict user access at the Matter level using Clarra’s existing role and permission settings.
- User Types:
- Standard User: Internal firm users
- External User: External collaborators
- ClarraView User: External users with read-only access
Clarra External User Types
The two external user types supported for Multi-Tenant Access are External User and ClarraView User.
- External User - this user type is best suitable for external collaborators such as co-counsel, contract attorneys, or case managers who need active access to perform tasks within a tenant, such as editing Matter details, adding events, billing time for a matter, or entering expenses or generating invoices for a Matter. They are typically granted specific permissions by the tenant admin based on their role in a case. External Users are billed under their primary tenant, not yours to which you are inviting them to.
- ClarraView User, on the other hand, are typically clients, litigation finance partners, or other stakeholders who only need view-only or very limited access to view Matter status, documents, or performance data. They do not perform any active tasks and are ideal for oversight or reporting purposes. ClarraView Users are paid for by your tenant at a reduced rate.
How to Invite External Users
- Navigate to User Management.
- Choose to invite an External User or ClarraView User.
- Enter user details and assign appropriate permissions.
- External users receive an email with access instructions.
- If they don’t have a Clarra account, they go through the standard sign-up process and then can switch to the inviting tenant.
Switching Tenants
Once logged in:
- Click My Profile
- Use the dropdown to select a different tenant
Access Control and Security
Multi-Tenant Access in Clarra is designed with strict access control and security to ensure sensitive case data is protected at all times. Each tenant maintains full administrative control over who can access their environment, which Matters and features invited users can see, and what actions they can perform. Administrators can revoke external user’s access at any time by deactivating their account, which immediately logs them out.
Tenant administrators can:
- Invite external users (External or ClarraView) with customized roles
- Restrict access to specific Matters or specific Matters’ Accounting
- Assign granular permissions, such as the ability to view, edit, or manage certain objects (such as Events or Linked Contacts) or perform specific actions (such as approve Invoices or delete file attachments)
- Terminate access instantly when it’s no longer needed
To ensure secure authentication and authorization, Clarra uses Auth0, a leading identity management platform. Additionally, each tenant has a unique URL, which adds a layer of isolation and reduces the risk of unauthorized cross-tenant access.
